iManage
iManage Work’s API reference is open only to iManage customers and partners, so Proofroom reads its policies by export: you upload the policy folder’s Grid view export, and each document’s version and edit dates are filed as its change history. iManage records edits, not reviews, so the yearly review itself is recorded in Proofroom: the approval of each document’s linked Proofroom policy. A document’s Word or PDF copy can be imported as a Proofroom draft. Add it on Policies → Where your policies live → iManage → Connect.
What the collector shows
| Collector | Kind | Default cadence | What it shows | Suggested controls |
|---|---|---|---|---|
| Policy document reviews | window | annually | Each upload is filed at once: every document in the export with its number, version, author, last editor and edit date, and whether a review was recorded in the 12 months before the upload: an approval of its linked Proofroom policy (or a review or approval date column, when the export has one). An edit in iManage is shown, but is not counted as a review. The export file is attached. The yearly run fails when no export was uploaded that year. | PCI DSS 12.1.2; SOC 2 CC5.3 |
Who can edit a document is not in the Grid view export, so there is no editor list for iManage.
Export the folder
- In iManage Work, open the folder that holds your policies.
- Switch to Grid view and show the columns Document Number, Name (or Description), Version, Author, Operator and Edit Date. Your administrator sets the default columns; you can add them from Available Columns.
- Select the export option next to the item count to export every item. iManage saves
Export-<date and time>.csv.
Upload
On Policies → Where your policies live → the iManage connection, choose the CSV, say whether its dates are written day first or month first, and upload. Proofroom refuses a file without a name column or an edit date column, and a file with a date it cannot read (naming the row).
Each row becomes a tracked document. Link each to its Proofroom policy (suggested by title). To import a document as a draft, download it from iManage as Word or PDF and upload it under Import a document as a draft.
Link each document to its Proofroom policy and approve it once a year (with changes, or as reviewed with no changes). A document with no review recorded in 12 months becomes a task; an edit in iManage does not answer it.
After the first upload
- Check the documents count and edit dates on the evidence against the Grid view.
